Buying one office chair and buying two hundred are different problems. At one chair you are choosing a chair. At two hundred you are choosing a role mix, a delivery sequence that has to match a program, a warranty term you will still be living with in year five, and a cost per workstation that has to survive a budget review.

All prices on this page are single-unit recommended retail, in Australian dollars and including GST, current at the time of writing. Volume pricing is quoted per project — we do not publish a discount schedule, because the honest answer depends on quantity, model mix, delivery locations and timing.

Role mix beats headcount

The most expensive mistake in volume seating is specifying one chair for the whole floor. A headcount of 180 is not 180 identical chairs. It is a general desk floor, a handful of people who sit longer and harder than everyone else, and — in some buildings — a control room that never turns the lights off.

Pricing one chair across all of them goes wrong in one of two directions. Specify up, and you have spent premium money on desks that are occupied five hours a day. Specify down, and the chairs in the roles that actually punish a chair fail early, out of warranty, and get replaced at full price two years into a five-year lease.

Cost per workstation, not cost per chair

A workstation is not a chair. It is a chair and a monitor arm, and on most floors it is a chair and a dual monitor arm. Budgets that are built per item almost always fund the seating properly and then find the screen mounting late, when it becomes a variation.

Build the number per head instead. It is a more honest figure, it is easier to defend in a budget review, and it is how a floor gets furnished consistently rather than in two disconnected purchase orders.

Which arm at which tier

Monitor arms are where volume orders quietly go wrong, because the unit price is small enough that nobody interrogates it and the quantity is large enough that the difference compounds. Two hundred workstations at a $140 difference per arm is $28,000.

Two practical points before you count arms. Check the desk: clamp depth, grommet position, and whether the tops are structural enough to take a clamp at all. And count screens, not people — a floor with a dual-screen standard needs dual arms, not two single arms sharing a desk edge. Our monitor arm procurement guide works through both in detail.

The Kyoto, and what it is not

Verified Kyoto specification

Two limitations a specifier should know up front. The Kyoto comes in black and grey only — if your palette needs a broader finish range, that decision points you at Flokk, RH or Humanscale, not at us arguing the Kyoto into a scheme it does not suit. And the 140 kg rating, while high for the price, is a single-occupant eight-hour rating, not a 24-hour multi-shift rating. Control rooms need a control room chair.

Who buys commercial seating at volume, and what each of you needs from us

Four kinds of people sign off these orders. You are all buying the same chairs and you are not asking the same questions, so here is each of you separately.

Builders and fit-out contractors

You are buying to someone else's specification against a program date, and your risk is not the chair — it is the delivery landing in the wrong week.

Lead times. We quote a lead time per model against your program dates, in writing, before you commit. We do not publish lead times, because a number published in March that we cannot hold in September is worse than no number.

Delivered assembled, staged to your program. Seating arrives assembled and we can sequence deliveries by level, zone or trade window rather than dumping the whole order on one dock day. Send us the program and we will build the delivery schedule against it.

When handover moves. It usually does. The practical answer is to tell us as soon as you know, not on the day, and to settle storage arrangements at quote stage rather than at the point the date slips. Storage is a real cost and it is cheaper to have agreed it in advance than to negotiate it under pressure.

Substitution risk. If the specification names a model you cannot get inside the program, come to us before you substitute. We would rather price the equivalent properly than have you discover at practical completion that the alternative does not meet the specified weight rating or warranty term.

Corporate and office managers buying direct

You are furnishing your own floor, you will be the one fielding complaints about it, and nobody is going to congratulate you for the chairs — they will only ever tell you when they are wrong.

Comfort across a mixed team. The thing that fits a mixed floor is adjustment range, not a single ergonomic claim. The Kyoto's 470–560 mm seat height and 490–540 mm seat depth cover most adult body sizes without a per-person specification exercise, and the 4D armrests mean the person who wants arms in and the person who wants arms out are both accommodated by the same purchase order.

Trial before you commit. For volume orders, put evaluation units on the floor for a fortnight before you buy. A chair a floor of people dislike gets replaced early, and the delay of a trial costs less than that. Samples are also at our Pyrmont showroom.

Cost per head. Use the workstation figure above, not the chair price. It is the number your finance team will eventually ask for anyway.

When someone leaves and the chair needs re-issuing. This is the argument for buying one model across the floor rather than accumulating chairs. A single model means any chair fits any desk, a departing employee's chair goes straight back into rotation, and you can buy matching stock next year instead of explaining why the new starters' chairs look different. A mesh back and a moulded foam seat also clean up between occupants. And because the Kyoto is our own brand rather than a global one, we decide when its specification changes — not an overseas range refresh.

Architects and designers specifying

You are writing the specification someone else buys from, which means your problem is not choosing a chair — it is writing a chair down so that what arrives on site is the chair you chose.

Finishes. The Kyoto is black and grey. Where a project needs a broader palette, Flokk HÅG, RH and Humanscale publish finish ranges and we will send you the current cards rather than a guess.

Environmental documentation. The Kyoto is GREENGUARD certified and 97% recyclable. Flokk publishes Environmental Product Declarations per model rather than making general environmental claims, which is usually what a Green Star or government submission actually requires. If your submission needs an EPD, tell us early — it narrows the field of eligible models, and it is better to know that before the scheme is drawn.

Certification. The Kyoto is tested to ANSI/BIFMA X5.1-2017. We will provide test and certification data per model on request; the tender documentation we can supply is set out on our commercial fit-outs page.

Writing a specification that survives tender. A specification that names only a model and adds “or approved equivalent” will be substituted, because everything is equivalent if nothing is measured. Specify the performance, then name the model as the benchmark. The block below is the shape of it.

Government and tender

Beyond panel status, tenders are usually won or lost on paperwork rather than product. We can supply structural warranty terms per model, test and certification data including BIFMA ratings and weight ratings, Environmental Product Declarations and recycled content figures where the manufacturer publishes them, and acoustic performance figures for pods. One caution worth putting in writing: ask every supplier who gives the warranty and where it is honoured. A warranty from an overseas manufacturer that does not recognise the import channel is not a warranty you can rely on in year four. Ours are set out below and on our warranty page.

What to put in your specification

Lift this straight into a schedule if it is useful. It describes the Kyoto, but it is written as performance criteria so that an equivalent has to actually be equivalent.
